Form SS-4: Everything you need to know

Form SS-4 Everything you need to know

What is Form SS-4 and why do you need it?

Form SS-4 is the IRS application you use to get an Employer Identification Number (EIN), the nine-digit tax ID your business needs to hire, bank, and file taxes.

  • It is the official way to request an EIN from the IRS.
  • Businesses, estates, trusts, and non-profits all use it.
  • You can file it online, by mail, or by fax.

Starting a firm involves many tasks. So staying organized can feel hard. One task needs early attention: getting an Employer Identification Number (EIN).

Whether you start your own firm, act as an estate executor, serve as a trustee, or found a non-profit, you must identify these entities the right way. This helps you meet your tax duties.

What is Form SS-4?

The Internal Revenue Service (IRS) provides Form SS-4. It is an official document that streamlines the EIN application process.

Employers, businesses, estates, trusts, and other entities use an EIN as a unique tax ID. The EIN is nine digits long.

An EIN works like a Social Security number, but for a business. The IRS uses it to process tax payments and employee benefits. To get one, you fill out Form SS-4 and send it in.

Purpose of Form SS-4

Form SS-4 is the way you apply for an EIN. So it helps many business entities when filing taxes and reporting financial data.

The details you enter set up your business’s tax account. As per IRS rules, employers, sole proprietors, corporations, estates, trusts, and individuals all use Form SS-4 to request an EIN. Sole proprietors, for example, still need to plan for self-employment tax once they register.

Your EIN and Form SS-4 support many money tasks. For example, you need them to get a business loan, open a bank account, or hire staff.

All businesses in the United States can submit an SS-4 form. In fact, most are required to do so. Owners planning ahead also review their small business tax deductions at the same time.

Importance of an employer identification number (EIN)

An EIN is your business’s key tax identity within the IRS system. So it matters from day one.

The number links to core parts of your business. For example, it ties to your bank accounts, payroll, and tax filings. Because of this, an EIN keeps your business and personal finances apart.

An EIN also builds trust with lenders and vendors. As a result, it can make it easier to secure credit or open accounts. It even affects how you report taxable income each year.

Two ways to register your Form SS-4

There are two ways to register your Form SS-4.

1. Online registration

Applying for an EIN online is quick and easy. Do you have a legal home, main place of business, or main office in the United States or its territories? If so, you can get an EIN online right away.

You can then use it to file tax returns or make digital payments. To finish the online form, the principal officer, general partner, grantor, owner, or trustor must hold a valid tax ID. For example, that means an SSN, EIN, or ITIN.

Online applicants can view, print, and save their EIN notice once the session ends. You can find rules for authorized third-party designees under Line 18. To start, visit the IRS website and go to Employer ID Number (EIN).

2. By mail or fax

To apply by mail, complete Form SS-4 at least 4 to 5 weeks before you need an EIN. Next, sign and date the form. Then mail it to the address listed under “Delivery Location.”

You will get your EIN by mail in about 4 weeks. See also “Third Party Agents” below.

Under the Fax TIN program, you can usually get your EIN by fax within 4 business days. So fax is faster than mail. Simply complete Form SS-4 and fax it to the correct IRS number.

How long does it take to complete an SS-4 Form?

Usually, it takes about fifteen to thirty minutes to complete an SS-4 Form. This form is how you get an EIN from the IRS.

The business seeking the EIN gives basic details. For example, it lists its legal structure, aim, and contact information.

The form itself is simple. Still, the time it takes can depend on your structure and how clearly you fill it in.

The IRS supports online filing, which speeds things up. As a result, online forms are processed right away, and the EIN is issued once approved. So this route gives businesses a faster turnaround.
