Process Design Outsourcing

Process design outsourcing is contracting a specialist to map, redesign, and document how the work should flow before anyone automates it or contracts it out. The output is documented processes, measures, and controls that the business itself can then operate.

Design is what makes everything downstream possible — you cannot automate, transfer, or improve a process that nobody has written down.

Outside eyes help precisely because they are outside — a specialist asks why a step exists, and internal teams have usually stopped noticing it.

The deliverable is only half the value — a beautiful process map that nobody adopts has cost money and changed nothing at all.

How it works

The specialist observes the current process and maps it as it actually runs rather than as the manual describes it. Waste, duplication, and control gaps are identified, and a redesigned flow follows with measures, controls, and clear ownership.

Mapping the real process is the hard part. What people actually do differs from what the documentation says, and the difference is usually where the problems live.

Design principles are published for public services. UK government design principles set out starting with user needs and doing the hard work to make things simple.

Adoption planning belongs inside the engagement. Training, updated system prompts, and a named process owner turn a document into how the work is actually done.

Measures should be defined in the design rather than bolted on later. A process without a stated cycle time cannot be shown to have improved.

Process design is contracted before automation programmes, before outsourcing transitions, and after a merger has left an organisation with two ways of working. Four cases show the range.

A bank. Account opening was mapped across four departments, exposing duplicate identity checks that nobody had realised were happening twice.

A hospital. Outpatient booking was redesigned around patient flow, with named ownership assigned at each step for the first time.

An insurer. Two claims processes were merged after an acquisition, with a specialist designing the single target flow both teams adopted.

Across all four, the same rule decided the outcome. Where a named internal owner took the design forward, it stuck; where it was handed over as a document, it did not.
