Campaign Management System

A campaign management system is the software that plans, schedules, executes and reports marketing campaigns across channels, holding the audience lists, the content and the rules in one place. Its value is in coordination — not in one channel’s features.

Without one, each channel runs its own list and its own schedule. The same customer receives three unrelated messages in a week, and nobody can say afterwards which of them produced the response.

Integration is what separates a useful system from an expensive one. If it cannot read the customer record and write results back to it, the organisation ends up maintaining two versions of the truth about every contact.

Consent handling is now a core function rather than a compliance bolt-on. A system that cannot suppress a contact reliably across every channel is a legal exposure, not just an operational inconvenience.

Content and approval workflow is the part buyers underestimate. Legal sign-off, brand review and translation all sit inside the system in practice — and a platform without them pushes the work back into email.

How it works

A campaign is defined as an audience, a sequence of messages, a set of rules about timing and exclusions, and a measurement definition. The system executes that definition and records what happened at each step.

Suppression rules run before anything sends. Global opt-outs, frequency caps, active complaints and open service issues all remove contacts, and a system applying these per campaign rather than globally will eventually send something it should not.

Reporting credibility depends on send logs. A system that reports intent rather than what actually left the building will eventually produce a number nobody can defend.

Cost scales with contacts, not campaigns. Pricing tied to database size punishes the list hygiene that everything else about the system is trying to encourage.

The legal requirements are specific. UK regulations prohibit unsolicited marketing email unless “the recipient of the electronic mail has previously notified the sender that he consents”, under regulation 22 of the 2003 rules.

United States rules set their own timetable. The Federal Trade Commission requires senders to honour an opt-out request “within 10 business days”, with each violating email exposed to penalties under the CAN-SPAM Act.
