Back Office Outsourcing

Definition

Back Office Outsourcing

Back office outsourcing moves the administrative work behind a business to an external provider. It covers finance, data, human resources, and processing tasks the customer never sees, and it is usually the first outsourcing a company tries and the easiest to measure.

Back office work transfers well because it is rule bound and measurable. Volume, accuracy, and turnaround can all be counted without asking anybody how they feel.

It also transfers well because nobody is defending it — few organisations regard invoice matching as a source of competitive advantage.

The catch is that back office work is where institutional knowledge hides — somebody knows which supplier always sends the wrong reference number.

Document that knowledge before transition, or budget six months for the provider to rediscover all of it the expensive way.

Key takeaways

  • Back office outsourcing transfers administrative work customers never see.
  • Rule bound, high volume processes transfer best and measure most cleanly.
  • Undocumented exception knowledge is the main source of transition pain.
  • Savings of 20% to 40% are typical against a fully loaded internal cost.

How it works

The buyer documents the processes, agrees volumes, accuracy targets, and turnaround times, then transitions the work in waves. Pricing is usually per transaction or per full time equivalent, with service credits attached to accuracy and timeliness agreed in advance.

Transaction pricing suits stable, countable work. Full time equivalent pricing suits variable work where the buyer wants to direct priorities day to day.

Volume forecasts matter more than the rate card. A provider staffing for 10,000 invoices a month prices differently from one staffing for a range between 6,000 and 14,000.

Small business finance guidance sets the baseline. The US Small Business Administration covers accounting basics, including the accrual and cash methods a provider will have to follow exactly.

Scale explains why providers can do it cheaper. Census Statistics of U.S. Businesses reports firms, establishments, employment, and annual payroll, showing how thinly administrative headcount spreads across smaller firms.

Keep the control points inside — approval limits, bank mandates, and exception sign off should stay with the client no matter who does the keying.

Examples

Back office outsourcing covers finance, human resources, data, and document processing, and each transfers at a different speed. Four cases show what a realistic transition and steady state look like.

A UK wholesaler. Moved accounts payable to Manila in 2024. Invoice cost fell from about 3.10 to 1.40 pounds, with accuracy holding above 99% from month four.

An Australian services firm. Transferred payroll and kept statutory interpretation in house. That split avoided the compliance risk most payroll transitions carry.

A US healthcare group. Outsourced document indexing. Throughput doubled once the provider was allowed to fix the scanning process rather than just work from it.

A European manufacturer. Moved HR administration and pulled it back after a year. Employee facing queries needed local context that no run book contained.

FAQ

What counts as back office work?

Administrative processes the customer never sees: finance operations, payroll, data entry, document processing, and human resources administration.

How much does it save?

Typically 20% to 40% against a fully loaded internal cost, depending on location and volume. Transition costs usually absorb the first six months of that.

Which functions should stay in house?

Approval authority, bank mandates, and anything needing local statutory judgement. The keying can move; the control should not.

How long does transition take?

Three to six months per wave for a documented process. Undocumented exceptions extend it, sometimes considerably.

How is quality measured?

Accuracy rate, turnaround time, and rework volume, with accuracy sampled independently rather than self reported by the provider.

Is per transaction or per FTE pricing better?

Per transaction for stable, countable work. Per full time equivalent when volumes swing or priorities change weekly.
