How to get your BPO recommended by ChatGPT and AI search

Getting a BPO recommended by ChatGPT and AI search assistants

At a glance

  • Buyers increasingly ask AI assistants to name outsourcing providers, and a BPO that is never mentioned in those answers misses the shortlist.
  • No one outside the AI companies knows exactly how sources get picked, but being indexed, being mentioned by credible third parties and having consistent company data all help.
  • Pages that answer buyer questions plainly, with clear facts and proof, are easier for AI tools to quote than vague marketing copy.
  • Track visibility with a fixed set of buyer prompts each month, because AI answers shift and one-off checks mislead.
  • Marketing Hub helps by placing your BPO in a verified directory, publishing your articles and featuring you on the Inside Outsourcing podcast.

A logistics firm in Texas asks ChatGPT, “Which BPOs in the Philippines handle freight back-office work?” The answer names four providers.

Yours is not one of them, even though you have run that exact service for six years.

That scenario is now common in AI search. Buyers use assistants to build a first shortlist, then visit only the names they see.

So the question is no longer just “do we rank?” but also “do we get mentioned?”

How AI assistants choose which BPOs to mention

It helps to be honest about what we know. AI companies do not publish full details of how their tools select sources.

Answers can also change from one day to the next. Still, some ground rules are public.

For Google, the bar is familiar. Its guidance says there are no additional requirements or special optimizations needed to appear in AI Overviews or AI Mode.

A page simply has to be indexed and eligible to show with a snippet. In other words, solid SEO is the entry ticket.

Other assistants blend their training data with live web results. As a result, the BPOs they name tend to be the ones that appear often, and consistently, across sources they trust.

Why third-party mentions matter more than your own site

Your website says you are great. An AI tool has little reason to repeat that unless other sources agree.

That is why mentions in directories, trade publications, podcasts and review sites carry so much weight.

Being named in the answer also matters more than it used to. Pew Research found that Google users clicked a traditional result in 8% of visits when an AI summary appeared, versus 15% without one.

Fewer clicks means the summary itself is often where the shortlist forms.

For a BPO, a practical mix is a verified directory profile, a few industry articles, a podcast interview and real client reviews. Each one is another credible source that describes what you do.

This also builds the wider brand recognition for BPOs that buyers notice anyway.

Keep your company data consistent everywhere

AI tools need to know that the company on a directory, on LinkedIn and on your website is the same one. Mixed names, old addresses or different service lists make that harder.

Start with an audit. List every profile you own, then align the company name, locations, founding year, headcount range and core services.

Next, add Organization structured data to your site. Google says it can help disambiguate your organization in search results, and its sameAs property can point to your official profiles elsewhere.

Write content that AI tools can quote

AI answers favor clear, specific statements. A sentence like “We handle tier 1 and tier 2 email support for e-commerce brands from Cebu, with 90-day onboarding” is easy to reuse.

By contrast, “We deliver world-class solutions” gives a tool nothing to cite.

So open each service page with a direct answer to the question a buyer would ask. Use descriptive headings, short paragraphs and an FAQ section.

Then back claims with proof such as certifications, client results and team size. These are the same details buyers check when they shortlist an outsourcing partner.

The table below shows which signals to strengthen and where.

SignalWhere AI tools can find itHow to strengthen it
Third-party mentionsDirectories, trade articles, podcastsKeep a verified profile and pitch one story a month
Consistent company dataYour site, social profiles, listingsAlign name, locations and services; add structured data
Answer-ready contentService pages, FAQs, articlesLead with direct answers and specific facts
Reviews and proofReview sites, case studiesAsk happy clients for reviews after milestones

Track your AI visibility over time

A single test proves little, because AI answers vary. Instead, build a fixed list of 20 to 30 prompts that real buyers would use, such as “best BPOs for healthcare billing in the Philippines.”

Run them monthly across the main assistants and log whether you are named, cited with a link or absent. Then feed the gaps into your wider outsourcing marketing strategies.

Also check your analytics for referral visits from AI tools. The numbers may be small, but they can be valuable.

Google reports that clicks from results pages with AI Overviews tend to be higher quality. Those visitors are more likely to spend more time on the site.

How Marketing Hub helps your BPO show up in AI search

Most of this work comes down to credible mentions and consistent facts in places AI tools read. Marketing Hub gives you several of those in one workspace:

  • A verified profile with prioritized placement in OA’s directory of 4,000+ BPO companies.
  • Company article and news submissions (two to four per month on paid tiers), plus press releases.
  • Features on the Inside Outsourcing podcast and banner displays across OA’s network.

The free plan lets you update your company page and includes a strategy call with the OA team. That makes it easy to fix your directory data first.

Frequently asked questions

How long does it take to start appearing in AI answers?

There is no reliable timeline, and anyone who promises one is guessing. New third-party mentions need to be published and indexed first, which alone can take weeks. Expect to judge progress over a quarter, not a single month.

Should a BPO block AI crawlers from its website?

Blocking AI crawlers in your robots.txt file may stop some tools from reading your pages. That protects content, but it can also reduce the chance of being described accurately. Most BPOs gain more from being readable than from blocking.

Can a small BPO compete with large providers in AI answers?

Yes, especially on niche prompts. Large providers dominate broad questions, but a 30-seat team that specializes in dental billing can own that narrower query. Pick two or three specialties and build mentions around them.

What is the biggest mistake BPOs make with AI search?

Many publish dozens of thin, AI-written pages hoping volume will help. Those pages rarely earn mentions from anyone else, so they add little. A few strong, specific pages backed by outside coverage work better.
