Document processing outsourcing is paying a provider to receive, read, sort, and check your business documents as they arrive. It spans intake, capture, exception handling, and archiving, and the buyer keeps the legal duty for the record at the end of it.

The work sits behind almost every regulated industry. Claims, invoices, applications, and shipping papers all arrive as documents before they become data anybody can act on.

Automation changed the shape without removing the need. Software reads the easy documents at speed, which leaves the provider handling the exceptions that software could not settle.

That inversion is worth understanding before you buy. A well automated queue delivers a harder, slower average document to the human team, so unit cost rises even as total cost falls.

Documents reach the provider through a secure channel, get classified by type, and are captured against a defined template. A validation layer checks confidence scores and routes anything doubtful to a human queue before release.

Exception handling is where the contract earns its money — rules decide what a low confidence field triggers, who resolves it, and how long the buyer will wait for a resolved document.

Pricing follows the unit, and the unit is usually a page or a document rather than a field — buyers who price per page and then send twenty page attachments get an invoice they did not model.

Template design does more for accuracy than extra training ever will — fields ordered to match the source document remove the eye movement that produces most transposition errors.

Document processing runs across insurance, freight, lending, and public records, and each setting stresses a different part of the pipeline. Four cases show how the same activity behaves.

An insurer. First notice of loss documents were captured offshore in 2024, with any page carrying a medical term routed to a specialist queue rather than the general team.

A freight forwarder. Bills of lading and customs papers were classified automatically, and the provider handled only the mismatches between the document and the booking record.

A lender. Income documents were captured with double keying on every figure that fed an affordability calculation, and single keying everywhere else.

A public archive. Scanned files were catalogued to the standards described by the National Archives, which publishes federal records management guidance for agencies.

The common thread is selective rigour. Nobody double keys everything, and the entries that survive audit are the ones that decided in advance which fields deserved the extra pass.

How is accuracy actually measured?

Against a sampled re review, field by field, not document by document. A document with nine correct fields and one wrong figure is not ninety percent right in any way that matters.

Should everything be double keyed?

No. Double key the fields that drive a decision or a payment, and single key the rest, because blanket double keying doubles cost for marginal gain.

Does automation remove the need for people?

It removes the easy volume. What remains is a harder mix of exceptions, so headcount falls more slowly than document volume suggests.

Who owns retention and deletion?

The buyer. A provider can execute a disposal schedule, but the legal duty to have one and to follow it does not transfer.

What is the usual pricing unit?

Per document or per page, sometimes with a separate rate for exceptions. Agree the definition in writing, because page counts vary by attachment.

How long does onboarding take?

Four to eight weeks for a defined document set. Most of that is template design and secure channel setup rather than training.
