Data Entry Outsourcing

Data entry outsourcing pays an external team to key information into your systems from documents, forms, or recordings. It covers typing, validation, and basic checking, and accuracy targets matter far more than the hourly rate that a buyer manages to negotiate.

It is the oldest offshore service there is, and it has never stopped being useful — paper, faxes, and badly scanned forms remain stubbornly common in insurance, healthcare, and logistics.

Automation changed the mix rather than ending the work. Optical recognition handles the clean documents, and people handle the exceptions the machine could not read confidently.

That shift makes the remaining work harder, not easier — an exception queue is by definition the material that resisted every automated attempt at it.

How it works

Source documents reach the provider through a secure channel, keyers enter the data against a defined template, and a verification layer checks a sample or double keys critical fields. Errors found feed back into coaching, not a monthly summary.

Double keying remains the reliable control for critical data — two operators key the same field independently, and any mismatch goes to a third person for resolution.

Throughput and accuracy pull against each other. A keyer paid per document will get faster, and the only thing holding quality steady is a verification layer the buyer insists on funding.

Field level accuracy is the only measure worth writing down. A document with one wrong digit in an account number is not ninety nine percent correct in any way that matters.

Template design does more for accuracy than training does. Fields ordered to match the source document remove the eye movement that causes most transposition errors.
