Business Intelligence Outsourcing

Business intelligence outsourcing hires an external team to build and run reporting, dashboards, and analysis. It covers data modelling, report building, and support, and the definitions behind each number stay with the client, never with the supplier who built it.

Reporting is the easiest analytics work to outsource and the easiest to get subtly wrong.

The build is straightforward. A competent team can produce a working dashboard from a clear specification in a matter of days.

The definitions are not — what counts as an active customer, or a completed order, is a business decision dressed up as a technical one.

Outsource the construction and keep the dictionary. A written definition per measure is the artefact that makes external delivery safe.

Support volume is the surprise — reports generate questions, and somebody has to answer them long after the build is finished.

Key takeaways

  • Business intelligence outsourcing covers data modelling, report building, and support.
  • Measure definitions must be owned and documented by the client.
  • Support and change requests outlast the build by years.
  • Self service reporting shifts effort rather than removing it.

How it works

The client supplies a measure dictionary and the source access, the external team models the data and builds the reports, then supports them against agreed change and response times. Sign off happens against the definitions, not on how the chart looks.

Statistical grounding matters more than it looks. The NIST Engineering Statistics Handbook covers process monitoring and control methods that stop a trend line being read as a signal when it is only noise.

Published business statistics are a useful sanity check. The UK Office for National Statistics reports business data by industry, giving an external benchmark for figures produced internally.

Access is the usual delay. External teams need read access to source systems, and security review of that access routinely takes longer than the reporting build it enables.

DeliverableUsually outsourcedClient must own

Measure definitionsNoEvery definition, in writing
Report buildYesAcceptance against definitions

Retire reports as deliberately as you build them. A suite that only ever grows becomes a maintenance bill nobody can justify and nobody dares to cut.

Budget for change from the start — a reporting suite that never changes is a reporting suite nobody is actually using.

Examples

Business intelligence outsourcing shows up as a one off build, a permanent reporting factory, or a hybrid with internal analysts on top. Four cases show which shape suited which organisation.

A UK retailer. Outsourced a reporting rebuild in 2024. The project ran twelve weeks, and agreeing the definition of an active customer took five of them.

A telecoms operator. Kept a small internal team for definitions and used an offshore factory for build and support. Change requests were triaged internally first.

A healthcare group. Outsourced dashboards, then discovered two reports disagreed. Both were correct against different definitions nobody had written down.

A manufacturer. Bought reporting support only, having built internally. The provider handled 60 to 80 change requests a month against a fixed retainer.

FAQ

What can be outsourced in business intelligence?

Data modelling, report and dashboard development, testing, and ongoing support. Measure definitions and prioritisation stay with the client.

Why must definitions stay in house?

Because they are business decisions. Two correct reports built on different definitions will disagree, and only the business can say which is right.

How is quality accepted?

Against the written definition of each measure, with a reconciliation to a trusted source. Visual review alone catches almost nothing.

What does ongoing support cost?

Commonly 15% to 25% of the build cost each year, driven by change requests rather than by defects.

Does self service reporting remove the need?

No. It moves effort into governing the semantic layer, which usually needs more discipline rather than less.

Should the same team build and support?

Preferably, for the first year. Continuity is worth more than the small saving from moving support to a cheaper team.
