Platform Outsourcing

Definition

Platform Outsourcing

Platform outsourcing is contracting a provider to run the software platform that your business depends on, from its configuration through to its upgrades. The provider owns operations, patching, and performance, while the buyer owns config and all its data.

The responsibility line moves with the service model — and most disputes trace back to nobody having drawn it clearly at the start.

Buyers usually arrive because the platform outgrew them — a system that needed one administrator now needs a team, and hiring that team is neither quick nor cheap.

Configuration authority is the part to hold onto — a provider optimising for its own supportability will standardise away the settings your business actually needs.

Key takeaways

  • The responsibility line depends on the service model in use.
  • Buyers keep configuration authority and ownership of their data.
  • Upgrade cadence should be contractual, not left to the provider.
  • Exit planning starts with a tested data export, not a clause.

How it works

The provider takes over administration of a named platform, monitors availability, applies patches and upgrades, and handles support requests. The buyer sets configuration policy, approves changes, and keeps the tenancy in its own name.

Service models change the split. In infrastructure services the buyer patches the operating system, in platform services the provider does, and in software services almost everything below the configuration layer belongs to the vendor.

That split has a standard definition. NIST Special Publication 800-145 separates IaaS, PaaS, and SaaS, and each model moves the line between provider and customer.

Integration management deserves naming in the contract. Every platform now talks to several others, and the interfaces between them fail more often than the platforms themselves do.

Assessment frameworks exist for this. FedRAMP provides a standardised security assessment approach for cloud services used by federal agencies.

Upgrade cadence deserves a clause. A provider that upgrades on its own schedule will eventually do so during your busiest week.

Integration ownership is the boundary that gets forgotten. Whoever owns the interface between two platforms owns every failure that happens between them.

Examples

Platform outsourcing covers enterprise applications, ecommerce systems, and internal tooling, and the split shifts with how customised the platform is. Four cases show the range.

A retailer. Its ecommerce platform is operated by a provider under an availability target, while merchandising configuration stays with the internal trading team.

A manufacturer. Enterprise resource planning administration is contracted out, and the manufacturer approves every configuration change before deployment.

A university. The student information system is managed externally, with upgrade windows fixed outside enrolment periods by written agreement.

A healthcare provider. A clinical platform is operated by a specialist, and clinical configuration decisions require named clinician approval.

The pattern across all four was written approval. Where configuration changes needed a named internal sign-off, the platform stayed fit for the business rather than fit for support.

Related terms

Platform outsourcing sits between infrastructure operations and application services, so it borders both and the roles that staff them. The list below marks the boundaries.

FAQ

What does a platform provider actually run?

Administration, monitoring, patching, upgrades, integrations, and support for a named platform. Configuration policy and data ownership stay with the buyer.

How is this different from managed services?

Managed services usually covers a set of technology services. Platform outsourcing is scoped to one named platform and its lifecycle.

Who patches what?

It depends on the service model. Infrastructure services leave the operating system with the buyer, and platform and software services move it to the provider.

Who owns the data?

The buyer, always, with the tenancy in the buyer’s name. Verify a full export works before signing, not at the point of exit.

How are upgrades handled?

Through an agreed cadence and change window. Leaving timing to the provider guarantees an upgrade during a period that matters to you.

What is the most common gap?

Integration ownership. Neither party assumes responsibility for the interface between two systems until something between them breaks.
